Why Is Beveria So Extensive? The Story Behind the Event Management System | ANM Collective
Case study · Product development story

Why is Beveria so extensive?

Because it was not created as a list of features added to a finished concept. It evolved step by step as each stage of event organisation revealed another real need of the organiser, participant or operations team.

Complete event ecosystem

Beveria was never intended to be a huge platform from day one.

The initial goal was to create a tool that would help organisers manage the internal side of an event: tasks, schedule, participants, budget, logistics, suppliers and key operational elements.

It was a logical starting point. An organiser needs one place to plan and control an event instead of managing it across spreadsheets, documents, messages and notes.

It quickly became clear, however, that an internal tool solved only part of the problem. An event does not exist only inside the organiser dashboard. It must be presented, published, attract participants, accept registrations, communicate changes and ultimately work in a real venue on a specific day.

Each new module appeared not because we wanted more features, but because without it the process ended halfway through.
The development story of Beveria

First came the tool for running the event.

An event consists of hundreds of small decisions. Who is responsible for the venue? When does registration close? How many people have confirmed? What is the budget? Who orders catering? What should happen at each moment of the day?

That is why the first layer of Beveria was designed for the organiser. It connected project management, participants, finances, schedules, suppliers and operations.

This dashboard organised internal work, but it did not yet solve participant acquisition or communication with people outside the team.

Zespół organizatora współpracujący przy planowaniu wydarzenia
Beveria began by organising the work of the organiser and the team responsible for the event.

The internal tool led to the creation of an event page.

The organiser may have a perfectly structured dashboard, but participants cannot see it. They need a public place where they can learn about the topic, date, location, programme, speakers, partners, participation rules and all the information required to make a decision.

That is why Beveria gained a dynamic event page. Not as a separate static landing page, but as the public extension of the same project.

When the organiser updates event data, the public layer can change with it. Before the event, the page collects registrations. Later, it can present the programme, practical information, a livestream, a recap or the next edition.

The event page became the public entry point into the process managed by the system.

An event page is not enough if nobody can find it.

Once the event page existed, another question appeared: where would participants come from?

An organiser may run their own campaigns, use social media, partners or an existing audience. Not every company, however, has strong reach or an established community. A new venue, restaurant, local organiser, foundation or company launching an event series needs an additional place where its offer can be discovered.

Creating a public event board was therefore the natural next step. Helping organisers attract customers and participants is also in our interest. The better an event works and the easier it is to discover, the more valuable the entire system becomes.

A hospitality event promoted within the Beveria ecosystem
The event board was not created as a random directory. It was created as a channel leading to the right page and the right registration process. Publishing · reach · participant acquisition

The event board and page had to lead to a genuine RSVP process.

When a participant discovers an event on the board and opens its page, they need to be able to register, buy a ticket or submit an application.

A standard contact form is not enough. Depending on the event, the organiser may need manual approval, waiting lists, accompanying guests, children, consents, invoice details, ticket selection, menu choices, transport, workshops or other services.

RSVP therefore had to understand the event, its configuration, limits, deadlines and application status. A registration from the board or event page could not simply land in a separate inbox. It had to return to the dashboard of the correct organiser and project.

RSVP had to manage not only attendance, but also the participant’s real choices.

Registration does not end the relationship. That is why the participant account was created.

After submitting an RSVP, the participant still needs information. They want to check their status, payment, ticket, accompanying guests, selected menu, transport, workshops, merchandise and current announcements.

Without a participant account, every change returns to email. The organiser answers the same questions, the participant searches for old confirmations and the system stops being the source of current information.

That is why the participant dashboard was created: a personal space connected to a specific registration. One account can provide access to multiple events while keeping each event’s data separate.

Registration status

The participant can see whether they have been accepted, placed on a waiting list, need to complete information or make a payment.

Personal selections

Menu choices, transport, workshops, packages and additional services are assigned to a specific person and event.

Current information

The organiser can communicate programme changes, instructions, materials and messages without creating another scattered channel.

Event Pass

The participant account becomes the place where individual tickets and QR codes needed on the event day are stored.

The data had to reach the people working on the event day.

Even the best organiser dashboard does not solve the problem if the person at the entrance still works from a printed list.

The team must quickly verify whether the participant can enter, which ticket they hold, what they selected, whether they collected a package, which workshop they joined and whether a specific service has already been provided.

That is why a separate staff layer was created: mobile Staff Pass, QR scanning, participant search, check-in, check-out and service confirmation.

A staff member should not see the entire system. They should receive only the access required by their role.

The final stage of the digital process must work in a real space and under time pressure.

That is why Beveria required so many stages.

Each module responds to a different moment in the same story. Removing one stage causes information to leave the system again and requires manual transfer.

Planning The organiser creates the project, budget, schedule and operational structure.
Page The event receives a public presentation and dedicated content.
Board The event can be discovered by new audiences.
RSVP The registration reaches the correct event and organiser.
Account The participant manages their status, ticket and selections.
QR and Staff The team uses the data during the live event.
Report The data returns to the organiser and supports the next edition.

The market is full of tools that solve only one part of the process.

You can find one application for forms, another for tickets, another for the event page, another for budgeting, a separate newsletter tool and yet another tool for code scanning.

Each of them may be good at its specialisation. The problem begins between them: when transferring data, updating statuses, managing permissions and deciding which information is current.

Disconnected tool

  • solves one stage without understanding the full event,
  • requires exports, integrations or manual data entry,
  • creates another account, database and potential point of failure,
  • often ends its role exactly when the next stage begins,
  • leaves the organiser responsible for connecting the whole process.

Beveria ecosystem

  • treats the page, registration, participant and operations as one cycle,
  • preserves the relationship between the event, person and their choices,
  • allows the same information to work across subsequent modules,
  • moves data from promotion through to live event operations,
  • builds the knowledge base needed for reporting and the next edition.

Beveria’s scope does not come from a desire to showcase as many features as possible.

It comes from the fact that an event is simultaneously a project, a product, a sales campaign, a registration process, a participant service and an operation delivered by people on site.

Each of these layers uses different views, but they all relate to the same data: the event, participant, ticket, payment, schedule, selected services and team actions.

When a system ignores even one of these perspectives, the organiser has to fill the gap manually. This usually means another spreadsheet, another list, manual messages or a separate tool.

Beveria is extensive because the problem it solves is also extensive. Nie chodzi o jedną czynność. Chodzi o utrzymanie ciągłości całego wydarzenia.

Event page Public event board RSVP and recruitment Tickets and payments Participant account Menu and extras Budget and operations Communication QR Pass Staff Pass Reports Next edition

Beveria is not a standalone application sitting next to the event. It is designed to be its digital backbone.

The organiser begins with a plan, creates the page, publishes the event, collects registrations, manages participants, handles sales, communicates changes and prepares operations.

The participant discovers the event, registers, receives an account, manages selections and uses Event Pass.

Staff receive simplified access to the tasks required on the event day. Afterwards, the organiser retains the data, report and audience base needed for the next edition.

Only this kind of flow meets the real need. It is not a collection of attractive screens. It is a system that knows what happened before and what should happen next.

Proprietary product · actively developed

Beveria grows together with the process it supports.

Beveria is a proprietary ANM Collective product. The system is developed in stages, with each module designed as part of a shared architecture rather than as a disconnected add-on.

This case study describes the real product development logic and the reasons behind its key components. It does not present a fictional implementation or attribute unverified numerical results to the system.

First, you need to understand the entire flow. Only then should you choose the features.

We build SaaS systems, client portals, event platforms, PWA applications, integrations and operational solutions that connect data instead of creating another digital silo.
